Here’s What You Should Know

Your first private charter flight should feel exciting, comfortable, and straightforward. Whether you’re planning a business trip, a family getaway, or a weekend with friends, knowing what to expect makes the experience even better.

At Mid Coast Air Charter, we believe personal service starts before you board the airplane. As a premier Baton Rouge Air Charter operator, we help you understand your options and plan a trip around what matters most to you.

If you’re considering private air charter from Baton Rouge, here's what you need to know before booking.

1. Private Air Charter Starts With Your Travel Needs

When you charter an airplane, you generally reserve the aircraft for your group instead of buying individual airline tickets. This lets you choose a departure time and itinerary that fit your plans.

Start by sharing:

  • Where you’re going and when you need to arrive.

  • How many passengers will travel.

  • How much luggage you expect to bring.

  • Whether you need a one-way flight, a same-day return, or a longer stay.

  • Any special requests, including pets or mobility assistance.

You don’t need to be an aviation expert. A conversation about your trip helps identify the right aircraft and a practical itinerary.

2. Choose the Right Aircraft for the Trip

The best charter airplane fits your passengers, destination, baggage, and budget.

For many regional trips, a turboprop like the Beechcraft King Air 200 offers a strong mix of cabin comfort, performance, and access to smaller airports. Depending on your destination, flying into an airport closer to your meeting, hotel, or vacation home may reduce your drive after landing.

Ask about the actual aircraft’s seating, boarding access, restroom arrangements, and amenities. If Wi-Fi is important, confirm availability and capabilities before booking. Our King Air has Starlink enabled on all flights.

Also ask whether your itinerary may require a fuel stop. Passenger load, weather, distance, and airport conditions all influence flight planning.

3. Understand the Total Charter Flight Cost

An advertised hourly rate is only part of the pricing picture. The number that matters is the total cost of your itinerary.

Request a written quote and ask whether it includes aircraft positioning, taxes, airport fees, crew expenses, and any applicable minimum charges. Confirm what additional costs could arise, including deicing, extended waiting time, or schedule changes.

With a traditional whole-aircraft charter, the price generally covers the aircraft for your group. Dividing that quote among the passengers can help you understand the cost per person.

For a fair comparison with airline travel, also consider airport transfers, overnight accommodations, connections, and time away from work or family.

4. Know Who Is Operating Your Flight

Some companies operate charter aircraft directly, while brokers arrange flights with other operators.

Before booking, ask who will operate your flight and confirm that the operator and aircraft are authorized for charter. For typical U.S. on-demand charter flights, this means verifying appropriate FAA Part 135 authorization.

The FAA provides passenger guidance through its Safe Air Charter resources.

Clear answers about the aircraft, operating company, and booking terms help you make an informed decision.

5. Discuss Luggage Before Departure Day

Private aircraft have baggage limits, too. Storage space and weight capacity depend on the airplane and the requirements of your specific flight.

Tell your charter provider about large suitcases, golf clubs, hunting or fishing equipment, strollers, and other bulky items before your trip. Soft-sided bags may be easier to accommodate on some aircraft.

Your provider may also request passenger weights for flight planning. Accurate information helps the crew determine the appropriate combination of passengers, baggage, and fuel. The airplanes have very limited baggage compartments, and 8 people bringing 16 traditional hard-sided suitcases will not fit. When possible, it's best to use soft-sided, duffel-type bags. More heartbreaking plane-side conversations have happened about what will and won't be allowed due to size constraints rather than weight. Those big square suitcases dont stack well in oval spaces.

6. Confirm Where to Go and When to Arrive

Private charter flights often depart from an FBO—a private aviation terminal—rather than the commercial airline terminal.

Before departure, confirm the exact address, parking arrangements, requested arrival time, and identification requirements. International travel requires additional documentation and coordination.

Ground transportation is worth arranging in advance at your destination, particularly when using a smaller airport. At Mid Coast, we can help you make those arrangements if you ask. The rental car or car service will generally be plane-side when you arrive.

7. Understand Schedule Changes and Cancellation Terms

One benefit of private aviation is flexibility. However, a requested change still depends on aircraft availability, crew duty limits, weather, and airport conditions.

Review the cancellation policy before paying a deposit. Ask what happens if your meeting runs late, your return date changes, or weather or maintenance affects the flight. At Mid Coast, we are very flexible, but we must abide by duty time and daily maximum flight hours by law. These rules/laws are for your safety.

The pilot may need to delay departure, adjust the route, or use another airport. Those decisions are part of responsible flight planning.

8. Think Beyond the Time You Spend in the Air

The value of chartering an airplane extends beyond flight time.

A direct itinerary may help your team visit a customer and return home the same day. A nearby airport may shorten the drive to your destination. Traveling together can provide more privacy and uninterrupted time with colleagues or family.

When comparing private air charter with commercial airlines, consider the entire journey—from leaving home to reaching your destination.
